1. Personal Information You Provide
User Account Registration
By registering an account on our site, we collect minimal data including your email address and username. This account is used to access the member area and fill out event registration forms during the Documentary Film Festival.
Event Registration Forms
By filling out event registration forms (such as registration for film screenings, workshops, or other festival events), we collect information you provide such as full name, email address, phone number, age, affiliation/institution, and other relevant information as required by the event.
Newsletter Subscription
By subscribing to our newsletter through the form on our site, we collect your email address. This data will be sent to Brevo (a third party) which we use to manage and send newsletters.
Film Submissions (Historical Data)
Until last year, we collected film submission data through this site, including filmmaker information, synopsis, and supporting files. Currently, the film submission process has been transferred to the FilmFreeway platform. Historical submission data is still stored and will be deleted gradually. You may request deletion of your data at any time.
2. Personal Information We Collect Automatically
By visiting our website, we automatically collect technical information through Matomo Analytics, including IP address, browser type, operating system, pages visited, visit duration, and referral source. This data is collected anonymously and hosted on our own server in Indonesia, not shared with third parties. Matomo data older than 6 months (180 days) is automatically deleted.

3. Personal Information from Other Sources
By interacting with us through social media platforms (such as Instagram, Facebook, Twitter, YouTube), we may see your account name and access your public profile information. This information is managed by the social media platforms you use and is subject to their respective privacy policies.
Purpose of Personal Data Collection
1. Information You Provide
Account Registration: Enables you to access the member area and save your preferences on our site.
Event Registration Forms: Process your registration to attend Documentary Film Festival events, send confirmation and event-related information, and manage event capacity and logistics.
Newsletter: Send information about FFD programs, film screenings, workshops, festival updates, and other relevant content through the Brevo service. You can unsubscribe at any time through the link provided in each email.
Film Submissions (Historical): Historical data is stored for festival archival and documentation purposes. This data is no longer used for active processing and will be deleted gradually.
2. Information Collected Automatically
Data collected through Matomo Analytics is used to understand how visitors use our site, analyze traffic, and improve user experience. This data is anonymous and does not allow us to identify you personally.
3. Information from Social Media
Data obtained from social media interactions is used to understand our audience, respond to inquiries, and improve the content we share.
Information Sharing
Third Parties We Use
Brevo: Email marketing service to manage and send newsletters. Data shared: email address and name (if provided).
Google Drive & Google Sheets: Used to manage event registration data and historical film submissions. Data is stored in FFD’s Google Drive account.
Hantamo: Our VPS hosting provider located in Indonesia. This server stores all site data including user database and Matomo Analytics.
YouTube: We embed videos from YouTube to display film trailers and teasers. YouTube may set their own cookies when you play a video.
Data Protection
We ensure that the third parties we use have adequate data security standards and are subject to data processing agreements that protect your information.
Mandatory Disclosure
In certain circumstances, we may be required to share your personal data with supervisory authorities, government agencies, or law enforcement in accordance with applicable laws and regulations.
Data Storage and Location
Server Location: Our site data is stored on Hantamo servers located in Indonesia.
Third-Party Services: Some data is stored on third-party services (Brevo, Google Drive) which may store data outside Indonesia. These third parties comply with international security standards to protect your data.
Data Retention
Form Data: Data collected through event registration forms and other forms will be stored for up to 1 year. After this period, data will be backed up and then deleted from the active system.
User Accounts: User account data will be stored as long as the account is active. You may request deletion of your account and related data at any time by contacting us.
Matomo Analytics Data: Visit data older than 6 months (180 days) will be automatically deleted.
Newsletter: You can unsubscribe from the newsletter at any time through the link in the email or by contacting us. Your data will be removed from our newsletter list.
Historical Film Submission Data: Film submission data from previous years is in the process of gradual deletion. You may request deletion of your submission data at any time.
